The right college management software is the one that fits how your institution already works: how you admit students, bill and collect fees, teach and assess, and report to your board. Start from those workflows, check the requirements that are specific to Kenya, make sure every department can use it, and compare the full cost, not just the monthly price.
Start with your workflows, not features
Feature lists all look alike. What separates systems is whether they follow your process from start to finish. Before you look at any software, write down how a student moves through your institution today:
- How enquiries arrive (WhatsApp, walk-ins, Facebook, your website) and who follows them up.
- How applications are received, checked and approved.
- How a new student gets an admission number, a class and their first invoice.
- How fees are paid, recorded and followed up.
- How attendance, marks and results are recorded, approved and released.
- What happens at graduation: clearance, certificates and transcripts.
Then ask each vendor to show you that journey with one sample student. A system that handles each step in a separate module, with retyping in between, will cost your staff time every single day.
Check the requirements that are specific to Kenya
Software built elsewhere often misses things Kenyan institutions rely on. Check these early:
- M-PESA. Can it connect to your own paybill or till, and does it match payments to students automatically? What happens when a parent types the wrong account number?
- Competency-based training. If you run TVET or CBET programmes, can it record units of competency, learning outcomes, evidence and Competent / Not Yet Competent results, not just marks?
- Multiple intakes. Can you run January, May and September intakes side by side with their own classes, fees and reports?
- SMS and WhatsApp. Students and parents respond to SMS and WhatsApp far more than email. Can it send both from your own accounts?
- Payroll. If you want staff payroll too, does it calculate PAYE, NSSF, SHIF and the housing levy?
Make sure it works for every department
A system the registrar loves but the finance office avoids will fail. Involve one person from each department in the evaluation: admissions, registry, finance, academics, and someone from management. Ask each of them to complete one real task during the demo.
Two things decide whether staff keep using it:
- Roles and permissions. Each person should see only what their job needs. Lecturers should not see fee balances; finance should not edit marks.
- A student portal. If students can check their own balances, timetables and results on their phones, your offices answer far fewer routine questions.
Ask how your data is protected and how you get it out
You are trusting a vendor with personal data about students, parents and staff, which the Data Protection Act, 2019 requires you to protect. Ask:
- Is each institution's data kept separate from other customers?
- Is two-factor sign-in available, and can it be required for people with access to money?
- Is there an audit log showing who changed what?
- Can you export all of your data, in a usable format, whenever you want, including if you leave?
Compare the full cost and the support
The subscription is only part of the cost. Ask about limits on students and staff, which modules are included, setup and data migration, training, and charges from other providers such as SMS and M-PESA. Our guide to college management system pricing covers this in detail.
Support matters as much as price. Find out how you reach the vendor (WhatsApp, phone, tickets), who will help you move your records, and how staff will be trained.
A simple way to compare your shortlist
Narrow your options to two or three, then score each one from 1 to 5 on the same questions:
- Did it handle our full student journey without retyping?
- Does it meet our Kenyan requirements (M-PESA, intakes, CBET, SMS)?
- Could each department complete its task in the demo?
- Are we satisfied with data protection and export?
- Is the full first-year cost clear and affordable?
- Is the support and onboarding plan realistic?
Finally, try it. A free trial with your own courses and a sample of real students tells you more than any brochure. Prepare by reading the questions to ask during a demo.
